How Voice Practice, an AI-led practice tool from CoachingOurselves, handles what you say and what we store. Last updated August 2026.
Voice Practice is a private, AI-guided reflective practice. You speak with an AI guide about your own work — your thinking, your decisions, the patterns you notice. This page explains, in plain language, what happens to your voice and your words. It covers only Voice Practice; CoachingOurselves' general privacy policy covers the rest of what CoachingOurselves does.
What happens during a session
When you speak, your voice is streamed in real time to Google (Gemini), which runs your session — turning speech into text and generating the guide’s spoken reply. Google also scores scenario practice, writes the reflection at the end of a reflective session, and answers in Help.
In rep practice, the text of what you said is also sent to Anthropic (Claude) to be scored against that module’s objectives. Anthropic receives the transcribed text only — never your audio — and only for rep practice. Both are established AI providers we use under enterprise contracts.
Your audio is not kept. It is processed live and never saved to our servers. What is saved depends on the kind of session:
- Practice role-plays and rehearsals keep no content — no recording, no transcript, no summary. We record that you opened the module, whether you got past the first page, and how long you were in it, so the number of times you have run it shows on your dashboard.
- Who can see this — your manager, and an administrator at your organisation, can see these usage records for the people they are responsible for: which modules, how many times, and how long. They never see what you said or your transcript.
- Scored practice is shared with your manager — when a practice scenario or rehearsal is scored, we keep the result so you can see how you are doing across attempts, and your manager or an administrator can see it: the result, how many attempts, and which of the module's objectives were met. Practice is a drill against a set of objectives, and the score is the point of it. They still never see what you said or your transcript.
- Reflective sessions are never scored — they record only that you opened the module and how long you were in it, the same usage record as any other module, so your manager can see that you are doing reflective work. What you said never travels with it: no transcript is kept, there is no score, and no account of your reflection reaches your manager or anyone else. A reflection only works if it is yours.
- CE modules also record your knowledge-check result and issue a certificate with your name, which we keep as the record of your credit.
On our earlier coach modules a text transcript of the session and the one-page written reflection are saved, and deleted after 30 days.
Your conversations are not used to train AI models
Under our contracts with Google and Anthropic, your data is not used to train their AI models — it is used only to deliver your session. There is no voiceprint, no facial recognition, and no profiling.

You're in control: delete any session — or everything at once — whenever you want. And whether you delete them or not, your transcripts and reflections are permanently and automatically deleted after 30 days. There is no setting that keeps them longer. The record that you practised, and your score where a practice was scored, is deleted after 24 months, and you can delete any of it yourself sooner — so a readiness figure your manager sees always means “demonstrated within the last two years”.
All of this is managed from your profile page when you're signed in.
Your sessions are private
What you say in a session is confidential to you. It is not shared with your manager, your team, or anyone in your organization — not the recording, not a transcript, not a summary. Your manager can see that you practised and how a scored practice went, never what you said — and when you delete a session it leaves their view too. There is no leaderboard and no upward reporting of your reflections.
Where your data is processed
The platform runs on Amazon Web Services in the United States. Voice and conversation processing happen via Google, and rep-practice scoring via Anthropic; both are US-based. Outbound email (your invitation, sign-in, and confirmation messages) is sent through a Canadian email provider.
Your rights
CoachingOurselves is a Canadian company subject to Québec's privacy law (Law 25). Whatever your location, we handle your personal data with those protections: you can access, correct, or delete your data, and we collect only what the service needs.
